In this page, we'll look at removing a course, specifically when there are already student selections in place for it.
Find the instance
You can remove a Selection at any point, but you need to consider if there's more than one place you want to remove it from.
If the Course is no longer being offered in a certain pathway you should remove it from the specific pathway, remembering to take it out of the main Selection area, as well as Reserves (if applicable)
If you're no longer offering the Course at all for the cohort you should remove it from all pathways.
The quickest way to see where the course is offered without tediously going through every part of the selection process is:
Go to: Checklist > Year X > Extract > Quickview > All instances of a selection
In the dropdown list, choose the Course you're wanting to remove.
Once you've picked a Course, the Sections where it occurs in the Selection Process will appear on the left, and the of number of Selections made for each will appear on the right.
Click the '+' icons to drill down further.
Expanding the Sections will show the Instructions where the Course occurs.
Removing from the Selection Process
Go to: Checklist > Year X > Selection Process
Using what you've found in Quickview, locate the instance of the Course that you want to remove.
Select the dropdown arrows to expand the Section and Instruction where the Selection is located.
Select on the Selection, choose Remove tab, then select Remove Selection.
Where students have already selected this Selection, there will be three warning prompts that appear.
Are you sure?
Are you absolutely sure?
In summary, these warnings are saying:
Any student selections for this Course in this location will be removed.
Once they're gone, they're gone.
SSO will only remove it from the location you choose.
SSO will not check if Students have met your overall Selection the requirements until the student logs back in to SSO.
Any Capacity Limits and Waitlist positions will also be removed.
The third screen will allow you to send Notifications.
By default, it will send a copy to you. You can also select the box to notify Students, who will see a message when they next log in to SSO and will also get an email if you have loaded their email addresses into SSO.
Use the text box to put in messages about what the Students should do.
It could be something like:
'Cert II Creative Industries Media is no longer being offered next year. Please log in to SSO and choose another Certificate Course.'
OR
'Cert II Creative Industries Media is no longer being on Line 4. Please go and choose another Line 4 option that meets the selection criteria.'
Once you've clicked 'Done':
An email will be sent to you with the cancellation details (if you left the box ticked).
An email/notification will be sent to the Student, with any notes you entered (if you ticked the box and entered text).
The Selections made by the Students for the instance of the Selection you just removed permanently.
The Selection will no longer be in the place where you removed it from the Selection Process.
The Selection will still be in your Selection Matrix data.
The Selection will still be in any other locations in the Selection Process that you haven't removed from.
