**Collecting parent email and phone numbers details

This page is about how to collect parent email and phone number details through your PTO event.


Go to Settings > Parent Settings:

 

You opt to collect parent phone and email information as part of your PTO event.

To turn these individual functions on

  1. Log in to PTO using your administrator login details

  2. Go to your Settings

  3. Under Parent Settings you will see options for Collect/Check Parent Emails and Collect Phone Number

  4. Click the option you wish to apply including whether provision of the information is Mandatory

  5. Click the Green Save Icon to save chosen setting.

 

 

 

Testing

Use PTO’s Help Users / Act As Parent functionality to test the settings are working as desired.





 

 

 

Retrieving Information Provided by Parents


Go to: Downloads > Search and Extracts > Parent List


This extract, exportable to Excel format provides you with the updated parent information provided during the event.

 

Remember whether you make input of this information by parents voluntary or mandatory
is completely at your discretion.

 

TIP
Consider using the Collect Phone Number as a multi purpose alpha-numeric input field. Many schools successfully utilised this field to ask parents to nominate whether they would prefer a Face to Face/Phone/or Video based meeting. This information is then available on various PTO reports and extracts including the Teacher Booking Report.
