Monitor Page Export Data to Spreadsheet
In this page, we'll look at where to Export the tracking of students' compliance and progress with the selection process, and some guidance of how the export extract spreadsheet can be used.
What is this for?
To begin with, you actually don't need this function if you're accessing SSO to monitor the progress of your student’s selections as designed.
We've added the ability to generate this extract as many schools are still sending a list out of those students who haven’t completed their selections, for people to chase up. We believe a better alternative is for you to encourage your team to log in to SSO and see all of this information within SSO.
It's a little like going to the dentist - if you check in regularly, the work required is usually less, so please be sure you encourage your team to check up in SSO from time to time.
Set the data you want to view/export
Go to: Monitor
Select what data you wish to view/export.
The default setting is all Students in all Year Levels and just select Export as Displayed.
The alternative is to filter down to a Year Level (at the top of the right drop down) or filter down to the Students linked to a Staff member such as a Course Counsellor and/or Home Teacher (at the bottom of the right drop down).
When you select Export as Displayed, SSO will generate a spreadsheet with the data displayed on the Monitor page, but in a spreadsheet friendly format as per this example.
What all of the indicators on the right mean
The letters and symbols used in Global Rules, Sections in the grid, and the numbered columns (these represent individual Sections, in case you were wondering) correlate to the key in the Monitor page.
A couple of ideas on how you can use the data in this:
Filter down to Students who don't have assigned Course Counsellors or Home Teachers, so that you can chase these Students up if necessary.
Filter down to Sections in the grid, to see Students who haven't logged in yet.
Filter down to Sections in the grid to see if any Students have a "*" or an "N". This will check for Students who haven't been to any Section, or Students who haven't complied with requirements in any of the Sections.
Filter down to a particular Section on the right if you're checking compliance or a specific Section.
You can use combinations of these filters to get out different information.
